SCEGA conference permit
What Support Does Your Conference Need?
A SCEGA conference permit is an authorization issued by the Saudi Conventions and Exhibitions General Authority for a qualifying conference. SYNC supports the application process by coordinating the event brief, organizer information, programme, venue details and requested documents. SCEGA determines eligibility, reviews the application and makes the licensing decision.
Conference Format and Activities
We review the purpose, sessions, speakers and accompanying activities. A conference, forum, seminar, workshop and business meeting should not be treated as interchangeable simply because they use a similar venue.

Organizer and Applicant Responsibilities
Identify the event owner, organizing entity and authorized applicant. We review the relevant account type and eligibility questions before agreeing who prepares information, submits the request and handles follow-up.

Venue, Audience and Programme
The location, capacity, schedule and participant profile should describe the same event. Tell us about international guests, sponsor displays and any programme elements needing separate assessment.

Classification and Eligibility Review
We review the conference brief, organizer structure and proposed activities against the relevant application route, identifying information or official clarification needed before submission.
Application File Preparation
We help organize the programme, speaker information, venue details and requested attachments. Event names, dates and descriptions are checked for consistency across the file.
Submission Coordination
We agree the applicant’s responsibilities, authorizations and submission tasks. Support follows the applicable official service and the permissions available to the organizing entity.
Follow-Up and Application Corrections
We coordinate updates and responses to comments, including revised information or attachments. A request for corrections is reviewed according to the actual status shown in the applicant’s account.
Changes and Cancellation Support
If the dates, venue or event scope change, we review the update and help coordinate the relevant amendment or cancellation steps.
If plans change, we review the relevant amendment or cancellation procedure and help coordinate the agreed actions. Authority requirements and any official charges are checked for the specific request.
Planning an International or Multi-Activity Conference?
International Organizers and Visiting Speakers
Review the organizing entity, applicant eligibility and authorizations alongside the guest plan. Conference licensing and each visitor’s entry or activity permissions require their own assessment.
Sponsor Booths and Accompanying Exhibitions
SCEGA’s conference description allows an accompanying exhibition for sponsors and supporters. Describe its purpose, displays and activities; do not assume it covers an independent trade show or every sales activity.
Medical Conferences and Professional Credits
Event licensing does not itself accredit a scientific programme or professional credits. Where relevant, review the Saudi Commission for Health Specialties (SCFHS) CPD activity accreditation process separately.
Hybrid Delivery and Additional Activities
Describe remote participation, streaming and all in-person activities. Entertainment or other regulated elements may involve additional authority requirements, including the General Entertainment Authority (GEA) where applicable. The programme determines what needs checking.

SCEGA Permit Questions
A conference can require SCEGA licensing even when it lasts only one day. The deciding factors are its purpose, programme, organizer and applicable event category not its duration alone. An internal company meeting may fall under a different classification from a conference with external speakers, delegates and formal sessions. Review the actual programme before selecting a permit.
SCEGA distinguishes between local and international conferences, seminars and forums, with different published government fees: SAR 5,000 for local events and SAR 10,000 for international events. The correct classification must follow the authority's applicable criteria. Inviting a speaker from another country does not, by itself, establish that a conference qualifies as international.
SCEGA publishes government licensing fees of SAR 5,000 for a local conference and SAR 10,000 for an international conference. Its conference service page lists five working days for service processing. Application preparation, missing documents or additional reviews can extend the overall timeline. SYNC's professional support fees and conference production costs are separate from the government charge.
Yes. SCEGA's conference service description allows for an accompanying exhibition involving sponsors and supporters. However, an exhibition area within a conference is not necessarily equivalent to a standalone trade exhibition. Its purpose, exhibitors, layout and activities should be described in the application so the appropriate requirements can be confirmed.
Foreign companies can arrange conferences in Saudi Arabia, subject to the relevant organizer eligibility and licensing requirements. SCEGA's conference service includes foreign applicants among its target groups, but eligibility for a particular application must still be established. Confirm the organizing entity, authorized representative and required documentation before committing to the licensing route.
Yes. Depending on the agreed service scope, SYNC can coordinate hotel reservations for visiting speakers and delegates and assist with visa application information and supporting documents. Conference licensing and immigration permission are separate processes. The relevant Saudi authorities determine visa eligibility and issue visas; event permit approval does not guarantee a visitor's entry.
If SCEGA returns an application, review the authority's comments and correct the specified information or documents before resubmitting. Changes to the date, venue, programme or organizing entity should also be checked against the application's status and the issued approval, if any. SYNC can help coordinate corrections and amendment enquiries, while SCEGA determines the applicable procedure and approval outcome.
